E-News to Current Undergraduates

Each week during the long semesters, our student newsletter is sent to current students in Natural Sciences. Reading your weekly newsletter is a great way to learn about events and opportunities, resources and tips for our neuroscientist student dean, Michael Drew.

More Ways to Publicize Events

Here are some suggestions for reaching members of the UT or larger community.

  • Emailing Others in the UT Community

    Members of the campus community must seek permission to email students, staff and faculty of the college or university with informational or promotional messages. Email lists for these groups are maintained at different levels through specific college offices. Beyond the undergraduate newsletter, if you wish for information to go to staff, faculty, graduate students or postdocs of the college, please email the request at least one week in advance to cnsnews@austin.utexas.edu.

  • Events Calendars

    Events targeted towards members of the UT community are best reached through the Texas Today events calendar. You can submit event information here (requires signing in with your UT EID).

    For upcoming public events that you would like to appear in the events calendar on the main College of Natural Sciences website, submit event details here at least a week in advance. 

    Many department websites also maintain events calendars that web editors are able to post to. Contact the college events page administrator, enter a Help request, or contact your department/office web master for more information.

  • HornsLink

    HornsLink is the platform for student organizations and events at UT Austin, and all students, faculty and staff can log in with their EID and advertise events to students.

  • Texas Student Media

    Texas Student Media oversees The Daily Texan and other outlets with a wide reach. To get out the word about events via a Daily Texan advertisement or proposed news story, or through another Texas Student Media outlet, call or email the Daily Texan or Texas Student Media.

    A digital-only platform from Texas Student Media, BurntX, is an increasingly good way to connect with University of Texas at Austin students on Instagram, Facebook and Twitter. Campus departments can post information and press releases for upcoming speakers, special events and related communication for student audiences at this link.

  • Digital Signs

    There are flat screen TVs throughout buildings in the College of Natural Sciences that may be useful for promoting events. Additionally, the University Unions has digital screens, which are located in the Texas Union, the Student Activity Center, the Wendy’s in Jester and Prufrock’s in Perry-Castenada Library. Departments and registered student organizations can apply here to have their event displayed on these screens.

  • Please email your slide request to building manager Cory Konieczny: cjk@utexas.edu
  • Slide must be saved as a JPEG with an aspect ratio of 16:9 (at resolution of 20 x 11.25 inches) and attached in an email. No other file formats will be accepted.
  • Posting of a slide requires a lead time of at least 72 hours.
  • Submissions will play on TVs in the east and west lobby of the NHB.
  • The maximum posting time for a slide is 3 weeks.
  • All slides must be associated with academic units within the College of Natural Sciences (i.e., CLM, Physics, Chemistry, Biology, Math, MSI, etc.).
  • Student organizations must have faculty sponsor to advertise.
  • In your email, please include the following information: Full Name, Department, Brief Description of your program or event, Date you want your slide to stop running: mm/dd/yy
PMA Building Flat Screen TV Guidelines
  • Please email your PMA slide request to MPA Advising Center: mpaadv@austin.utexas.edu
  • Slide must be saved as a PowerPoint (.pptx) and attached in an email. No other file formats will be accepted.
  • Posting of a slide requires a lead time of at least 72 hours.
  • Submissions will play on the TV next to the café on the 4th floor, north wall of PMA
  • Slides will be uploaded once a week on Monday.
  • The maximum posting time for a slide is 3 weeks.
  • All slides must be associated with academic units within the College of Natural Sciences (i.e., Physics, Chemistry, Biology, Math, MSI, etc.).
  • Student organizations must have faculty sponsor to advertise.
  • In your email, please include the following information: Full Name, Department, Brief Description of your program or event, Date you want your slide to stop running: mm/dd/yy

  • Welch Hall: Preferred formats: JPEG, with a 16:9 aspect ratio (minimum resolution 1920x1080). Contact Chemistry Student Services: css@cm.utexas.edu
  • BIO: Please email your slide request to Greg Browning: g.browning@austin.utexas.edu
    • Slide must be saved as a 1360X768 JPEG in landscape format and attached to your email.
    • Requires 48 hours lead time. New slides will be posted on Fridays.
    • Slide will play on TV in the BIO office & advising center.
    • Please note: we cannot play videos on these TVs
    • In your email, please include full name, department, brief description of program or event and beginning and end dates for your slide run. 
  • Promotion Beyond UT’s Community

    If you want to reach out beyond campus, make sure to check the resources below.

    • Texas Exes - Submit events by email to the Texas Exes, the official alumni association for UT Austin.
    • Austin 360 events calendar - A free events calendar maintained by the Austin American-Statesman that requires registration to submit events. Visit their website and click on “Promote Your Event.”
    • Austin Chronicle - Items submitted to the Austin Chronicle at least three weeks before the event may appear in their weekly print edition.
    • Austin Monthly - A free calendar that requires registration to submit an event.
    • CultureMap Austin - Submit events here for this free calendar.
    • Do512 - Submit an event online, which requires registration, or by email.
    • Free Fun in AustinSubmit events at least one week in advance to this site for family-friendly events.
